How Evo Academy collects, uses and protects your personal information — in line with the Protection of Personal Information Act (POPIA).

Who we are

Evo Academy Pty (Ltd) ("Evo Academy", "we", "us") operates evo.academy, the member portal on that site, the staff application at app.evo.academy, and the Evo Academy training facility in Menlo Park, Pretoria. We are the responsible party for the personal information described in this policy.

This policy explains what information we collect when you use our website, sign in (including with Google), book sessions or events, or otherwise interact with us — and what we do with it.

Information we collect

We may collect and process the following personal information:

  • Identity and contact details — name, email address and phone number.
  • Google account details — if you choose Sign in with Google: your Google name, email address, profile picture, and a Google user identifier. We do not receive your Google password, Gmail, contacts, calendar or Drive.
  • Account and login details — hashed password if you create an email-and-password login, sign-in timestamps, and whether your email address has been verified.
  • Booking details — class or event selected, session date and time, booking reference, attendance and reminder preferences.
  • Membership and billing details — offerings you are enrolled in, invoices, and payment status.
  • Payment-related information — when you pay for membership, an event or a workshop, payment is processed by Paystack. We do not store your full card details on our servers; Paystack handles card data according to their own privacy and security standards.
  • Communications — messages you send us via WhatsApp, email or other channels.
  • Technical information — basic server and browser data (such as IP address and device type) needed to operate and secure the website.

Sign in with Google

Sign in with Google is optional. You can also create an Evo Academy account with your email address and a password.

If you use Sign in with Google, Google shows you a consent screen and, if you approve, sends us your name, email address, profile picture and Google user identifier. We use that information only to create or recognise your Evo Academy member or staff account, keep you signed in, and show your name and photo in the portal.

We do not use Google account data for advertising. We do not sell it. We do not request access to any other Google data.

Your use of Google’s services remains subject to Google’s own privacy policy. To stop using Google to sign in, or to ask us to delete the Google identifier and related profile data we stored, contact us using the details below. You can also manage connected apps in your Google Account.

Why we collect it

We process personal information for legitimate purposes connected to running the academy, including:

  • Creating and authenticating your Evo Academy account — including Sign in with Google.
  • Confirming and managing trial bookings, intro sessions, info sessions and event registrations.
  • Managing memberships, class access, invoices and the member portal.
  • Sending booking confirmations and reminders you have asked for.
  • Processing payments for memberships, paid events and workshops.
  • Responding to enquiries and providing customer support.
  • Meeting legal, accounting and safety obligations — including indemnities signed for participation in training.
  • Improving our services and keeping our website secure.

How we use your information

We use your information only for the purposes above. We do not sell your personal information.

Where you book on behalf of someone else (for example, a child), you confirm that you have authority to provide their details and that they have been made aware of this policy where appropriate.

Sharing with third parties

We share personal information only when necessary to deliver our services or comply with the law:

  • Google — only if you choose Sign in with Google. Google authenticates you and provides the account details described above. Google is an independent controller of your Google Account.
  • Paystack — to process online card payments for memberships, events and workshops.
  • Email and messaging providers — to send booking confirmations, receipts and reminders.
  • Service providers who host or support our website and systems, under confidentiality obligations.
  • Regulators, courts or law enforcement when required by applicable law.

How long we keep it

We retain personal information only for as long as needed for the purposes described above — for example, for the duration of an active booking relationship, and thereafter as required for legal, tax or dispute-resolution purposes.

When information is no longer required, we delete or anonymise it in a reasonable manner.

Your rights under POPIA

Subject to POPIA, you have the right to:

  • Request access to the personal information we hold about you.
  • Ask us to correct inaccurate or incomplete information.
  • Object to processing in certain circumstances.
  • Request deletion of information where we are no longer lawfully required or entitled to keep it.
  • Withdraw consent where processing is based on consent — without affecting processing that already took place.
  • Lodge a complaint with the Information Regulator (South Africa) if you believe your rights have been infringed.

Security

We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access or disclosure.

No online system is completely secure. Please use strong passwords where applicable and contact us promptly if you believe your information has been compromised.

Direct marketing

We may send you information about classes, events or academy news where you have given consent or where the law allows. You can opt out of marketing communications at any time by replying to the message or contacting us at [email protected].

Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page will change when we do. Material changes will be reflected on this page — please review it periodically.
